Position Title: Senior Clerk
Department: Police Department
Employment Status: Non-Exempt; Full-Time
Salary: UFCW Admin Union, Grade A05 | Step 1 Starting at $20.39 per hour

SUMMARY
The City of Chicopee’s Police Department is hiring a Senior Clerk who performs clerical duties according to standard office procedures requiring a degree of decision and knowledge of the office operations with strong typing skills, math skills, intensive bookkeeping knowledge, strong organizational skills and the ability to work independently.
ESSENTIAL DUTIES INCLUDE
– Type correspondence from rough draft or straight copy for the Chief and other in-house departments.
– Provide customer service in person, by phone, by email, or by other means.
– Input outstanding invoices into the city’s on-line Munis software beginning with requisitions, verifying each individual account balances before and after payments, proofing classifications and org codes, proofing invoice batches, and processing the warrant to finalize the invoice payment process.
– Update expense Worksheets for police expenses, special accounts, and grant expense.
– Assist the Asst. Auditor in maintaining annual listing of the departments fixed asset inventory list.
– Prepare deposits of money received as reimbursements from vendors as necessary.
– Order supplies with the approval of the Administrative Specialist.
– Perform duties in the absence of the clerk In the Traffic Bureau.
– Answer phones and moderate decision making when responding to public inquiries.
– Ability to accurately file Information for the office and perform other moderate complex clerical duties.
– Ability to work Independently and complete assignments with minimal supervision.
– Good understanding of the CORI law as to what Information can be given to the public.
– Research, process and coordinate registration of training classes, hotel reservations, and reimbursements.
– Oversee contract management and change orders Including building construction.
– Update and oversee department vehicle list including EZ Pass bill paying.
– Process incoming and outgoing mail.
– Perform analysis and billing of other departments usage of police department fuel pumps.
QUALIFICATIONS
To be minimally qualified for this position, one must meet the following criteria:
– High School diploma or equivalent; and five (5) years related experience and/or training; or equivalent combination of education and experience
– Five (5) plus years office experience
– Above average typing skills
– Strong math skills
– Good understanding of bookkeeping procedures
– Knowledge of computer software such as Windows, Microsoft, Access, Excel, Word
– Strong Organizational skills and detail oriented with the ability to work independently to complete Job assignments
– Knowledge of Munis is preferred

This role is classified as a UFCW Admin Union, Grade A05, starting at Step 1, with a minimum starting pay of $20.39 per hour, with periodic step and pay increases upon continuous completion of employment with the City of Chicopee.
