Supervision Received: The Clerk IV receives direct supervision from the Associate Director of Admission Operations.
Supervision Exercised: None
Salary: $1,667.36 Biweekly

General Statement of Duties: The Clerk IV provides support to the office of Admission. Responsibilities include but are not limited to, opening and distributing mail, document tracking, mailings, data entry, phone and front-line coverage, and participation in open house and yield programs.

Duties and Responsibilities:
Duties include but not limited to:
Essential:

Performs data entry for admission documents, including application data entry.
Tracks and files admission documents.
Enters prospect inquiry cards in the customer relations manager system (CRM).
Sends admission materials to prospective students.
Uses customer relations manager system (CRM), manages Admission email, missing items and prospect letters, and assists the Associate Director with duplicate detection.
Manages incoming phone calls, assists with front counter coverage, and manages the main Admission email account.
Assists admission staff with all open house and yield programs.
Uses various software programs to prepare documents, maintain spreadsheets and compile statistics according to established procedures.
Uses customer relations manager system (CRM), to resolve account issues and unsubscribe emails.
Responsible for downloading inquiries from 3rd party vendors and enter inquiry data into customer relations manager system (CRM).
Manages the duplicate detection process, including merging of duplicate records.
Future responsibilities may include more regular front counter coverage.

Knowledge of clerical office practices and procedures, including office record keeping, office correspondence control, the types and uses of office equipment and supplies, and business letter preparation.
Ability to assemble items of information in accordance with established procedures; ability to determine proper format and procedures for assembling items of information.
Ability to exercise sound judgment.
Ability to monitor work processes, including planning processes and coordinating activities of multiple constituents.

Minimum Entrance Requirements:

Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.

Qualifications Acquired on Job:

Knowledge and understanding of policies, procedures and practices of the department and division.

Familiarity with University policies, procedures and guidelines relating to work performed in the division.

Knowledge of clerical office practices and procedures including office record-keeping, office correspondence, the types and uses of office equipment and supplies.
